About This Role

As a Front Office Assistant, you will be the first point of contact for visitors and callers, representing the organization in a professional and welcoming manner. The role involves managing front desk responsibilities, handling communications, coordinating office activities, and ensuring smooth administrative operations.

The ideal candidate should enjoy working with people, be highly motivated and result-oriented, a quick learner, capable of working independently, and able to deliver consistent results.

What You Will Be Doing

1. Act as the face of the organization by providing a professional and courteous experience to all visitors and callers.
2. Plan, execute, and communicate front office operations and their impact to relevant stakeholders.
3. Manage and oversee all front desk activities to ensure efficiency and professionalism.
4. Handle all inbound and outbound calls and maintain accurate communication records.
5. Perform daily checks on office telephone lines and coordinate with service providers for issue resolution.
6. Maintain records of incoming and outgoing couriers with proper documentation and handover.
7. Supervise housekeeping and office maintenance, coordinating stationery and office requirements.
8. Prepare and share daily reports on walk-ins, web enquiries, phone calls, and external visits with senior management.
9. Maintain attendance records and follow up on leave and medical submissions.
0. Coordinate interviews, external visits, open days, admission events, fairs, workshops, and orientation sessions.
1. Ensure accurate and timely data entry and management within the CRM system.
2. Schedule and manage appointments for management and office staff.
3. Send reminders for upcoming appointments and commitments.
4. Generate and submit daily, weekly, and monthly activity reports as required.

About You

Qualifications

- Bachelor’s degree in any discipline.

Experience

- Minimum 2 years of experience in a similar front office or administrative role.
- Strong experience in front office management and customer service.
- Proven ability in office communication, coordination, and administrative operations.

Skills & Competencies

- Strong interpersonal and communication skills with a professional and friendly demeanor.
- Proficiency in MS Outlook, MS Office, and online communication tools.
- Strong internet research skills.
- Ability to multitask and work efficiently under pressure.
- Strong problem-solving and decision-making abilities.
